CRM vs. spreadsheets: when the spreadsheet breaks.

It works at 10 people. At 50, nobody knows which version is true.

Short answerA spreadsheet breaks as a CRM when more than two people update it, when leads come from more than one place, or when the owner can't answer 'what's in the pipeline' without asking someone. At that point, set up a CRM that leads land in automatically, and one dashboard that shows leads, jobs and money. The team uses it when it saves them typing.

The signs

Two versions of the file. A lead that two people called. A deal everyone thought someone else was handling. Numbers that arrive on Friday for a decision that was made on Tuesday.

What to set up first

Not the fanciest CRM. The one your team will open. Set up the stages the way deals actually move. Then make every call, form and email land there on its own, with a next step and a date. That's the part that makes people use it: it saves typing instead of adding it.

The dashboard

One screen: leads this week, pipeline by stage, jobs in progress, revenue and cash. Pulled from the CRM and your accounting tool on its own. Emailed to you weekly so you don't have to log in.

What it costs

Usually less than one month of the time your team spends reconciling spreadsheets. Setup takes weeks, not months.
